Abandoned system restored
"My solar panels had been turned off since August, even though I owned them, and I wasn't sure how to get everything working again. Thanks to Ben working his magic, my panels are now up and running."
From the first lead to the last warranty claim. Quotes, permits, install, dispatch, photos, fleet, payments and reviews — all in one system of record. It replaces the pile of tools you're paying for now.
"Most solar companies run the sale in one tool, the install in another, and the service in a group text. Nobody owns the whole customer."
The strategic difference
SolarProjeX is the complete system of record for the customer and the job — lead, quote, permit, install, service, warranty, payroll, money. Not a layer bolted onto a CRM, and not another subscription next to the four you already have. We migrate your customers, jobs and history in, and SolarProjeX becomes the record of truth on day one.
Sale through service, one platform
From the first lead and the signed proposal to the permit, the install, the paid invoice and the Google review — SolarProjeX handles every step on one platform. Every capability below has its own page. Open the ones that matter to you.
Call anyone in the company from a customer, a job or a chat, and they get a real ring inside the app rather than a link in an email. Schedule meetings with attendees and a weekly repeat, or go voice only when nobody wants a camera on. Quiet hours are respected.
Meetings & calls → NewSales estimates for new systems — priced properly with adders, discount and dollars per watt, sent as a branded PDF, and signed by the homeowner from their phone. No login, no app, no chasing a scanned page back.
Sales estimates → NewPool heating and hot water are sized on surface area, occupants and loop type — not watts. The SunProjeX connector brings the sized, signed thermal proposal into SolarProjeX, so it forecasts and reports alongside every PV sale.
SunProjeX connector → NewParts at what you actually paid, labor at the rate payroll will actually pay, and a trip charge that covers the first hour. Your team quotes all day. Cost and margin stay owner-only.
Job pricing →A scored outreach queue with click-to-call on your own phone. Check in on the customers you already have, correct stale records, and turn service calls and upgrades out of a base you already own.
Call Desk →Every permit, every AHJ, every stage — applied, issued, inspection, final — with the real date it moved and who moved it. Stop calling the county to find out where you stand.
Permit board →Missing permit numbers get matched against a public-records corpus covering 405 jurisdictions in 32 states — by address, never by contractor name. Multiple permit types on one job, so a reroof carries the roof permit and the solar permit side by side.
Permit auto-match → NewTake the array down, wait for the roofer, put it back. Each trip keeps its own crew, its own form and its own date — so a putback reports in the month it was worked, and a job waiting on a roofer never reads as stalled.
Removal & reinstall →A reroof has two payers. The roofer is billed for the removal and reset, the homeowner for their own work, and neither one ever receives the other’s invoice. One work order, separate invoices, separate balances.
Accounts & billing →Track failed panels, inverters and optimizers from claim to replacement. Linked to the work order, with labor reimbursement tracked so you actually collect it.
RMA board →Mission Control shows every job and tech in real time. Color = tech, shape = status. Auto-zoom to fit your active jobs.
Dispatch & scheduling →Pick from 13 solar starter templates (PV install, DHW service, reroof, permit final) or build your own with conditional logic. Unanswered required questions say so, and the camera brings you back to where you were.
Custom forms →Photos capture location, time, and tech automatically. Burst mode, sample overlays, instant upload — even on spotty cell signal, and an iPhone HEIC arrives as a picture people can actually see.
GPS photo capture →GPS-aware time tracking. Techs clock in at the job site, clock out when home — automatic, accurate, audit-ready.
Time clock →See where every truck is, geofenced against the job it is supposed to be at. A truck day is measured in your own timezone, and rolling down the road is not counted as no activity.
Fleet tracking →Crew and office in one thread, tied to the job. Direct messages stay sealed. No second app, no personal phone numbers.
Team Chat →Built-in invoicing with Stripe. The customer signs and pays on the spot — or gets an emailed pay link with Apple Pay, Cash App, Klarna, and more. Paid status lands on the job itself. No more 30-day collections chase.
Field payments → NewCard, check and accounting-booked payments in one read-only view, with processor fees recorded so a card payment shows what you actually kept. It reports money. It never closes it — that stays a person's decision.
Payment tracking → NewImport distributor invoices and build a price book from what you actually paid. Per-hundred and per-thousand pricing handled properly, so a part never books at a hundred times its cost and poisons every quote built on it.
Parts price book →Removes and resets billed to the roofer, service billed to the homeowner — on the same address. Open a roofing account and see every invoice on it, and what is genuinely still open.
Bill-to management →Cross-checks jobs, invoices and payments and surfaces what doesn't line up. At our own shop it found 620 discrepancies worth $1.08M on the first run.
Reconciliation →A rate catalog per job type, weekly paysheets built from the jobs your techs actually ran, and a payroll dashboard for the office. Approve, export, done.
Payroll & paysheets →Your customers get their own account for equipment, documents, warranties, receipts, appointments and live production — under your brand, on your domain. Fewer calls to the office.
Customer portal → NewA request from the portal lands somewhere it can be owned, worked and closed — not in whichever inboxes happened to get the email. Open requests stay visible until somebody finishes them.
Service requests → NewA homeowner's reply lands on their record where the whole office can see it, instead of in one person's phone. Consent is enforced per recipient, and quiet hours mean nobody gets a 2am message.
Customer texting →One-click PDFs with your logo, photos, signatures, brand color. Plus public share links so customers can review instantly.
Customer reports →When a job closes paid in full, the customer automatically gets a review request — smart follow-ups, business-hours sending, Google, BBB, and SolarReviews links. Watch your rating climb from the built-in dashboard.
Reviews & rank tracking →Staff ask a question and get an answer from your own written procedures and the job in front of them. When something is not documented, it says so — a confident wrong answer about your own process costs more than none.
AI assistant → NewOne catalog of monitoring links per system, map and table views, and encrypted credentials for the platforms that never opened an API — plus a proper consent flow for taking over a homeowner's account.
Monitoring accounts → NewA field app, five-question qualification at the door, and a leaderboard — feeding the SAME pipeline the office works, not a second one. Commission computed on the real sale and the real install, plus a built-in training academy.
Canvassing →Report Designer: pick your fields, filters and grouping, save it, share it. No ticket to us, no CSV export into a spreadsheet you rebuild every month.
Report Designer →Custom roles per company, a toggleable permission matrix, and per-person control right down to a single menu item. Complete-gating with required fields and photos.
Roles & permissions →Self-serve setup of app.yourcompany.com with auto-provisioned SSL. Your customers never see SolarProjeX.
SunProjeX, Artemis, Aurora Solar, QuickBooks, Stripe, Enphase, SolarEdge, Slack — 20 integrations and growing, plus Zapier for 6,000+ more.
Integrations →Build automations on a drag-and-drop canvas — no code. A job hits a status, SolarProjeX fires the next step: assign, notify, update, escalate.
Workflow automation →Solar pool heating and hot water are first-class here, not an afterthought bolted onto a PV product — equipment models, guided diagnostics and job types that match the work.
Solar thermal operations →Mission Control
When the truck arrives on-site, the job flips to In Progress automatically. No tap required. When the tech leaves, it's flagged for closeout. Your board stays current without anyone touching it.
Mobile-first
Techs work from their phone. Photos, forms, signatures, time tracking — all designed for one-handed use on the rooftop.
Fleet-aware
If you run company trucks, SolarProjeX tracks them. If you don't, skip this section.
Connect your fleet and every truck becomes a unit of work. Live GPS positions, geofenced auto clock-in when the truck rolls, auto clock-out when it returns home. Your techs never touch a timesheet.
Fleet features are optional and available as an add-on. The rest of the platform works without them.
Built for the work you actually do
Templates built for real solar work — installs, service calls, surveys and takedowns alike. Pick one, assign it to a job type, and techs know exactly what to capture on every visit.
Techs can't mark a job complete until every required photo is captured.
No more billing disputes. No more AHJ rejections. The job isn't done until it's actually done.
Payments
The tech invoices on-site, the customer signs and pays on the phone. Customer not home? Email a pay link they can settle from anywhere. Every payment reconciles automatically, and the receipt files itself against the job and the customer.
Reviews
The moment a job closes paid in full, SolarProjeX asks for the review — then follows up at 3 and 7 days, during business hours only. You stop chasing reviews. They just show up.
Customer portal
Every "what's on my roof again?" call is a call your office didn't need to take.
The homeowner side of SolarProjeX, wearing your name. Your customers get a real account for the solar on their roof — equipment, documents, warranties, receipts, appointments, service history and live production — under your brand, on your domain. It reads straight from SolarProjeX, so there is nothing to keep in sync.
Running in production today. Included from the Crew plan up, and we set it up with you. Your own domain on Multi Crew and above.
Built into SolarProjeX at /reviews → Heatmap. Real Google Places data, rescanned monthly. Animation shows the climb to all #1 as reviews land in the weak zips; grid is illustrative.
Local rank grid · built in
Reputation agencies and rank-tracking tools charge solar contractors $300 to $2,000 a month to run this exact scan and “manage” your Google ranking. That map is built into SolarProjeX, and so is the tool that fixes the red zones. The map diagnoses. The platform treats.
Read this one: you own the north end of town at #1. Drive south and you vanish, where a competitor holds the top spot in nearly every red block. That’s real revenue walking to someone else, and now you can see exactly which blocks.
Proof it works
AllSolar Energy runs one of the most active solar operations in the Southeast. 26 techs, 13 company trucks, and 18,000+ customers — sold, permitted, installed, dispatched and closed out through SolarProjeX every day, at more than 3,000 jobs a year.
Before SolarProjeX: a sales tool, a separate ops tool, group texts, spreadsheets, and photos buried in personal phones. Now: one platform, where every job has a complete photo record, a closeout note, and a customer share link — automatically on close.
Abandoned system restored
"My solar panels had been turned off since August, even though I owned them, and I wasn't sure how to get everything working again. Thanks to Ben working his magic, my panels are now up and running."
Previous companies kept canceling
"I had to let go of two previous companies, including the original installer — they kept canceling appointments or I couldn't get through. AllSolar has been amazing. They were able to diagnose some of my problem without coming out and then quickly fix the issue to restore power."
Full reroof takedown and putback
"I want to thank Jacob and his team for all their great work helping us get the panels down and back up. Thank you for your professionalism and no-mess-around work ethic. What was a nightmare became a great experience."
Shipped, not roadmapped
SolarProjeX is written by a solar contractor for their own operation, then shipped to everyone. Here is what went live in the last week of August 2026 — all of it running in production today.
A removal and a reinstall are one work order and two visits — separate crews, separate forms, separate dates — and a putback now reports in the month it was actually worked. Technicians see that a roofing account is being billed; which roofer stays office information, stripped before it leaves the server.
A homeowner's request from the customer portal now arrives somewhere it can be owned, worked and closed — with existing requests backfilled onto the board rather than left behind in an inbox. Active portal users are flagged on the customer record so staff know what the person on the phone can already see.
A discount is a real negative line on an invoice or quote, capped at a percentage you set, so it shows on the customer's copy and in your own margin instead of disappearing into a rounded total.
An in-app assistant answering from your own documented procedures and a job's own notes, over a written manual filtered to each person's role. Topics are fingerprinted against real screen labels, so documentation that no longer matches the product is flagged — or withdrawn — automatically.
Card, check and accounting-booked payments in one read-only view, with what the processor kept recorded against the payment. The automatic closer was deliberately removed: closing money is a person's decision.
One catalog of monitoring links per system with map and table views, encrypted credential storage for the platforms that never opened an API, and a proper consent flow for taking over a homeowner's monitoring account.
A homeowner's reply lands on their record for the whole office, and the alert opens the conversation itself. Consent is evaluated per recipient, and quiet hours stop a silenced alert becoming a 2am message.
Parts from your own price book at what you actually paid, labor at the rate payroll will genuinely pay, and a trip charge that covers the first hour. Your team prices the work; cost and margin stay owner-only.
Distributor invoices import from email or portal CSV, and unit cost is derived from the line extension against quantity shipped — so a part billed per hundred never books at a hundred times its cost and poisons every quote built on it.
Priced proposals for new systems with a branded PDF and online homeowner signature — plus a PV design import from Artemis, and a SunProjeX connector that brings signed solar pool heating and hot water proposals into the same pipeline.
